Regional Logistics Manager
Supervision of department staff:
1 Logistics assistant/Driver, 1 radio Assistant, 2 Drivers. Allocation of tasks within Department staff and provision of technical knowledge to the office colleagues and counterparts in National Societies. Recruitment of local driver.
Procurement
International and regional upto 50,000 CHF of food and non-food items: registration of purchase requests or request for proposals in Lotus approach programme, opening of tendering/invitation for bid, preparation of Request for quotation (RFQ) or Request for proposal (RFR), conduction of the opening ceremony and evaluation of bids or proposals, preparation and conduction of Comparative bid analysis (CBA), convocation of Committee on Contracts, preparation and translation of the contract with the Supplier for goods or services, preparation of Purchase order (PO) for payments, supervision over receipt and dispatch of the goods/services by the Purchase requestor. Registration of suppliers in Supplier database and observance of market updates. Preparation of monthly cash forecasts. Provision of regular reports on outstanding requisitions for the region. Maintenance of working advance for the Department and direct reporting to Finance department. Maintenance of the fixed assets’ list of the Delegation and Delegates’ apartments.
Warehousing
Receipt and dispatch of goods, keeping of records of all stock movements (stock and bin cards), organizing the handling of supplies, regular stock control conduction, preparation of reports (stock and distribution reports)
Fleet management
3 (three) leased and 2(two) owned vehicles. Receipt of leased vehicles from UAE and shipment arrangement of old vehicles back to Fleet Logistics Base, UAE. Registration in country destination in Ministry of Foreign Affairs, Customs agency, Traffic police. Registration of vehicles and inputting of monthly reports into Fleetwave system, establishment of vehicle files in accordance with Federation filing standards and usage of fleet standard forms (vehicle file index card, driver file index card, driver test report, driver authorization, driver rules and regulations, daily and monthly reports), vehicle daily dispatch, maintenance management (regular servicing, procurement of spare parts), disposal of vehicles (sale or donation in accordance with Federation procedures), arrangement of Global and local third party liability insurance.
Customs clearance
Arrangement of customs clearance for vehicles, incoming diplomatic mail and cargo, arrangement of dispatch of the goods within region, arrangement of shipment of the personal effects of the Delegates
Training
Facilitation of Logistics workshop (procurement section), conduction of briefing on Logistics for the new staff
Inventory and Fixed registers
Maintenance and update of inventory and fixed assets registers of office and delegate’s apartments.
