Facility Maintenance Scheduler

Collect and register all positive and negative PCR requests from different parties. Release PCR certificates with negative and positive results. Communication and close work with different parties in case of new positive PCR case. Fill in positive PCR case summary form. Provide statistics and overview on positive PCR cases to senior management.

Checking Timesheets of each employee and filling in Load Chart. Monthly Manpower and Manhour report. Checking and monitoring work schedules. Business trip arrangement, creating of Business Trip Order and Business Trip Certificates. Requesting orders in 1-Click. Training enrollment, travel/arrival plans (Bus/Train/Flight/Hotel), completion of administrative checklist items, etc. On/Off boarding process for newcomers, meet and greet a newcomers. Uploading applications to Share Point (sick leave, material assistance, collective agreement, annual vacations, overtime). Stationary request, office equipment supply. Coordination of events. General Admin support. Experience with PCR tests reporting, PCR tests arrangement in Tengiz for personnel who going to change POD and going crew change (work as contractor with TCO PCR team), organize PCR tests from quarantine hotels and EEs hometown - conducting with Interteach Lab., arrangement of quarantine hotels for EEs in Atyrau and Tengiz, reports in case of positive PCR tests.

Preparation of Job Packs and Drawings for contractors and checking of revisions. Uploading Job Packs on Document Management System (DMS). General support for Engineering department.

Location: Tengiz, FGP. Develop and control PTW process, Standard Operating procedures (SOP), Planning Phase Hazard Analysis and Job Safety Analysis. Translation of all required PTW and SOP documents. Correct registering of Permits into Date Base and register prolongations. Closing of Permits in Data Base, making reports on unclosed, closed and expired Permits. Ensure all PTW work scopes are in accordance with applicable work pack / job card instructions, associated procedures and drawings. Mentors on the OE Process including JHA and PTW Process. Adhere to health, safety and security procedures of the project / company. Develop and adhere to Job Hazard Analysis (JHA) regarding all potentially hazardous tasks. Material requesting and issuing of Gas analyzers and Minifilters.

Location: Tengiz. Preparation and processing of Project Proposals (Price Proposal). Preparation of Timesheets and Act of completion for Project Proposals. Filling and control Finance Tracking system for Project Proposals. Providing support to Finance accounts receivable. Processing documents and keep drawings of the buildings. Develop and maintain documents of any type in a systematic manner such as Document Database information, document management system, Material Requisition Procedures and filing systems, Audit Report tracking and distribution system, Plan Preventive Maintenance filing systems, various forms, Work authorization creation. Develop a tracking and distribution system for all Audit Reports received from FM stakeholders. Register and prepare Work Authorization Contracts. Issuing for staff PPE and filling PPE Database.

Location: Tengiz, FGP. Covering calls of any nature across the twenty four hours of service provided, including repairs, complaints and requests for service. Distributing Maintenance Job Requests as per the area to be serviced. Entering in to CMMS/ SAP/ JDE E1 Corrective maintenance and Scheduled Job requests, prioritizing the works, distributing among the trades and then hand over to the Supervisors for carrying out the job.

Location: Tengiz, Rotational Village. Accurately filling in Timesheet for staff, giving it to Senior Timekeeper on time and distributing Pay slips to the staff. Handling staff personnel issues (annual/educational/sick leaves, salary advance requests, overtimes, Contracts, Job descriptions etc.). Visit worksite (Substations, Plant area) to check actual working hours of all staff. Daily Report to HR Senior Timekeeper.

Location: Atyrau. Timely registrations of all documents. Setting up personal individual folders. Ensure integrity and confidentially of all filing and data storage system. Fill in and update Employees’ Labor book. Reconciliation of Week / monthly HR reports. Handle grievances and labor relations issues. Consult all Employees in terms of current Labor code if required.
