Upon receipt of the bilaterally signed contract and invoice, to send an email with the documents (Agreement, Invoice) to the Client. To send to Accountant dept. an email with documents (Service Request, Contract, Invoice), payment date and details. To update the weekly report with the cost of the course with and without VAT, the date of signing the contract, the payment procedure, and the status of the course (in process or completed). Upon completion of the training, to request issuance of Act of completed works and Electronic Invoice. If the provider sent an original of Act of CW - to check the correctness of data and send scanned copy of signed Act of CW to the provider and request for issuance of Electronic Invoice To request the confirmation from Accountant If the provider sent an Act of CW electronically. In case of changes in training dates and payment - to request from the provider the issuance of updated contract or additional agreement to the contract and new Invoice To send the updated documents (Agreement / Invoice) to the Trainings specialist from the Client company and inform the Accountant (to send email). Sending weekly reports on weekly basis. FGP Project Craft Training Administrator responsibilities: - Providing support to instructors. - Maintaining training records in the Learning Management System. - Registering participants in the Learning Management System. - Booking and scheduling training classes - Maintaining training events and reports on the CT Portal (Craft Training Portal). - Inviting participants for training courses and exams/certification. - Informing participants and clients of exams/attestation results. - Supervising the equipment of the classrooms. - Preparing training materials, consumables and distributing materials (e.g, instructions, feedback forms). - Monitoring attendance at courses. - Receiving and reporting feedback from participants - Informing trainers/instructors and evaluators about upcoming trainings and evaluations. - Additional tasks related to the Training Department - To fulfill the requirements of the Integrated Management System (ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018) established in the company. - Provision of the equipment for professional training and advanced training of employees, introduction of simulators and automated training tools into the training process. - Participation in the establishment of the company's internal training center. - Knowledge of the company's Quality Policy and Objectives, HSE, H&S, possible environmental aspects, and occupational safety risks. Responsibility for the consequences of non-compliance with the requirements of ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018, including non-compliance with mandatory requirements adopted by the company
