Ensuring filing of soft / hard copy of technical documents, warranty items as required. Conducting preliminary qualification & assessment of new suppliers and contributes to consolidation, reduction, rationalization and consistent maintenance of AGI vendor database. Participating and assisting the procurement manager in the negotiating contracts and tender process, works closely with Legal, Finance, HSE & Operations ensuring compliance with AGI requirements and standard terms & conditions. Assisting the procurement manager in monitoring supplier compliance and performance against established contracts and processes. Proposes and implements cost reduction, quality improvement initiatives, improvements to procurement policies, procedures and streamline processes. Maintains thorough industry and commodity knowledge Assisting the procurement manager with other tasks as required. Coordinating and securing the procurement of materials, components, supplies and services essential to AGI operations. Oversees moderately complex procurement projects and activities. Under direct supervision from the procurement manager. Interfaces with line managers and other internal clients, while assisting the procurement manager to plan and prioritize local purchasing activities. Reviewing planned orders, ensures technical requirements are met during RFQ, PO, and Contract process; coordinates approval process, with direction from the procurement manager, and in line with internal Policy and Procedure. Transmits Approved purchase orders and supporting documents to the supplier. Tracking order acknowledgement, confirms system lead times, prepares and communicates shortage and backlog reports, and provides visibility of delivery dates, costs and potential interruptions to internal customers. Involved in the creation, accuracy and timely updates & distribution of status reports, and other relevant tracking systems including ERP.
